Progress Component: Time

The Time tab contains time log entries for the current Step, including the following information:

  1. The user that created the time log entry
  2. The Comment (optional) that was entered on the time log
  3. The Date which the time was logged for
  4. The amount of time logged for the entry
  5. Whether the time log entry is Billable or Non-Billable

A time log entry can be edited (6) or deleted (7) by its author or permitted user (prior to version 8.2) or by any user that has access to this step via Additional Access Settings ( from version 8.2 ).

Time log entries are summarized at the bottom of tab (prior to version 8.2) or at the top of the tab (from version 8.2):

  • Total billable hours (9) for the current Step
  • Total non-billable hours (10) for the current Step
  • Estimated Step Time (the Effort property set in the Step's Time configuration in the Process Designer) (11)
  • Variance (12) - The difference between the Estimated Step Time and the total amount of Billable and Non-Billable hours

Note: From version 8.2, time log entries for all steps are available in the Step History.

To log time, click the "+" button (8). The Time Reporting form will display (13), containing the following fields:

  • Step name (14) - from the version 8.2 user can report time for any step (if he is permitted to report time there)
  • Report Date (15) - the Date for which the time will be logged (required)
  • Report Time (16) - the amount of time to log for the entry (required). User is not able to log zero or negative time. Minimal amount of time to be reported is 0.01 hours.
  • Report Type (17) - whether the time entry is Billable or Non-Billable
  • Comment (18) - optional

"Process" and "Record" fields will be pre-populated if user reports time from the Instance tab of process details page or from the "time" stab of record details in Task Manager. These fields will be available when time is reported from Task Manager or Time Log Dashboard.

When Editing a time log entry (6), the same form will be displayed, with data pre-populated.

A Report Date set beyond the current date will not allow the record to be saved.

Time Log Entries are stored in the Step when the user proceeds/approves/rejects it the first time, or any subsequent time. Additionally, Entries will be retained if the user restarts a branch containing that step.

Prior to version 8.2: Time Log Entries will be lost if the entire current process instance (workflow) is restarted.

From version 8.2: Time Log Entries will be preserved if the current process instance (workflow) is restarted.

From version 8.2 Steps can be set to require Time Log Entries when proceeded/approved/rejected. If user try to proceed such step without loggong work time, system will disallow this and warn user.
