Library

Library stores pre-configured Steps, Actions, and Custom Data Fields. They should be created and added by user; also, there are several Standard Actions provided with application.

To use Library items first expand the proper section (1) in the left sidebar of Process Builder. Then drag necessary icon (2) to the proper place in canvas:

  • steps to canvas
  • actions to steps or connectors
  • Custom Data Fields to steps

NOTE: Every user that has permissions to access process builder will have access to all existing library items.

Managing Library

Library has the following standard sections: "Steps", "Actions" or "Custom Data Fields" which will contain items of proper types.

Library Header has the following buttons:

  • Expand/Collapse All (3) - expands all sections and categories, if all of them are collapsed, otherwise collapses all of them
  • Refresh (4) - useful if you expect somebody to add more items
  • Manage Library (5) - toggles proper buttons (6, 7) for custom Library Items and categories

Sections and categories can be expanded and collapsed separately by clicking their names.

Managing Items and Categories

Adding Items to Library:

  • Click the mouse on the canvas and drag it to select several items (8):
  • Right click on the any of selected steps and select Save to Library (9):
  • Popup (10) will be shown. Type Name (11, it will be shown in the Library) and select parent Category (12) if necessary. Populate Description (13), if you want to see something useful in tooltip when you hover mouse on library item. Then click "Save" button:
  • New library item is added. It will have name you given and "Steps" icon (14):

In this way user can add Library Items of the following types:

  • One Step - it will add one Step to the library with all it's properties and actions. The icon of this Library Item will correspond to Step type.
  • Several Steps - it will add a set of selected steps (as described above) with all their settings, actions and connectors (note that connectors linked to non-selected steps will not be stored). The icon of this Library item will be always the same (8).
  • Action - it will add one Action (from Step or Connector). Icon will correspond Action Type. Actions can be added also from the proper Step Settings Section.
  • Custom Data Field - it will add one Field from the proper Step Settings section.

The Library Item and it's category will be automatically placed into one of Library Sections ("Steps", "Actions" or "Custom Data Fields") depending on Library Item being added.

 

Editing Library Items and categories:

  • Click "Edit" button (7, see above) to open "Edit Library Item" popup (15) or category popup (16)
  • Change necessary data and click "Save" button

Deleting Library Items and categories:

  • Click "Delete" button (6 see above)
  • Click "Yes" in confirmation popup (17, 18)

To create new category, just type it's name when adding a Library Item. If no category with a such name exists, it will be created.
