Process Details - Process Step Metrics Chart (since release 7.0)

This chart displays the total occurrences of each metric for every step of the process, within the selected period:

  • Number of times the step has been started (1)
  • Number of times the step has been completed (or approved for decision Steps, 2)
  • Number of times the step has been rejected (3)
  • Number of times the step has been late (completed later than the configured Duration, 4)
  • Number of times the step has been escalated (5)
  • Number of times the step has been re-assigned (because of escalations or manually, 6)
  • Number of reminders triggered on the step (7)
  • Average duration of the step (by all instances within the selected period, 8)
  • Step Rating (Health) - This property is calculated based on the occurrences of different step metrics (Completed, Escalated, etc.). The higher the Health value, the more closely the step adheres to the desired resolution timing. (9)

Numbers of starts (1), completions (2), and rejections (3) do not consider flow restarts in this chart.

Note: number of rejections (3) will be shown only if decision steps exist in the process.

From version 8.2, two additional columns are shown in this chart:

  • Average Pending Duration (the average duration that all steps within the selected period have been in a Pending state)
  • Forecasted Duration

Clicking on a Step name (10) will redirect the user to the Step Statistics screen (see below) where several charts related to this Step will be displayed.

Optionally, the chart can display trends, indicated by arrows (11) by toggling the appropriate switch (12):

  • Trends are calculated for each metric against the identical previous period. For metrics with an objective value of the trend, a green arrow indicates a positive trend, while a red arrow indicates a negative trend. Black arrows indicate trends that do not have an inherently positive/negative meaning. A light gray, "flat" arrow shows that there is no change in the metric, in comparison with the previous period.
  • Trends are not available if the dashboard period is set to "All Time."
  • Hovering over a trend arrow will display a tooltip with more detailed information. This information includes the trend direction (13), the current selected period (14) and the previous period used for compairson (15). The previous period will have the same length (considering different number of days in months and years) as the selected period.

Click the "?" button (16) to display further instructions for reading this chart.

Click "Expand" button (17) to render the chart in the full browser window. This can be useful when the chart contains a lot of data, or for presentation pursposes. In the expanded state, a "Collapse" button will be displayed, allowing the chart to return to its original size.

If the Process has sub-processes, and "display sub-process steps" has been toggled on (18), the Process Step Metrics chart will display the following information about subprocesses:.

  • Sub-Process Names (19) - When clicked, the Process Details page of the desired subprocess will be opened in a new browser tab.
  • Information of sub-process steps (20)

Sub-processes can be collapsed or expanded (21) to show/hide sub-process Step Metrics.

By default, sub-process steps are displayed in a hierarchical tree view that represents the structure of parent and child processes, like in the Gantt chart. Toggling the Tree View switch off will display the sub-process steps linearly (23). In this view, process and sub-process steps are grouped together. This can be useful if the user wishes to evaluate only certain processes and sub-processes. Processes can also be collapsed or expanded (24) in this view.

Process Statistics must be manually enabled for a given process. If the process statistics have not yet been enabled, the Process Step Metrics chart will display instructions for enabling them (25). Alternatively, open the Process in Process Designer and check the "Enable Steps Statistics" checkbox (26) in the Process Settings:

If the Process has sub-processes, and Process Statistics for those sub-processes have not been enabled, their steps will show no data (27). To enable statistics for sub-processes, either open the sub-process itself and enable them via the Process Step Metrics chart or enable them via Process Builder, as described above.

If the process statistics are enabled, but there is no data for the selected period (or no started Process Instances), this chart will display all values as 0.

Step Statistics Screen

Clicking on a Step Name will drill down to display the following Step-specific metrics:

  • Step Statistics - High-level metrics for the Step.
  • Step Instances Metrics - A table of the individual Step Instances whose metrics are calculated into the Step Statistics.
  • Active Steps by Risk of being Late - A donut chart of all Step Instances for the Step, grouped by Risk of being completed past their defined Duration.
  • Step Duration by Assignee - A chart that displays, by Assignee, the actual duration for each Step Instance. This chart includes both In Progress and Completed steps.
  • Approvals/Rejections by Assignee  - A chart that displays the Step Assignee's history of approval and rejection for each Step Instance. This chart is only rendered for Decision steps.

Calculation Frequency

Calculations are automatically performed daily at 12 PM in the time zone of the Job's Running User, up through the preceding day.

The Step Metrics screen contains the following elements:

  • A Step selector, which allows the user to quickly view metrics for another step without returning back to the Process Statistics screen.
  • A time period selector, which allows the user to define the period for which data will be displayed.
  • A toggle to display sub-process steps in the Step Instances Metrics table (Note: this element will only be displayed for processes that contain sub-processes)only for process with sub-processes). This toggle is disabled, as it will appear in the same state as selected on the Process Statistics screen.
  • A "Return to Process Statistics" button, which navigates the user back to the Process Statistics screen.
  • A "Refresh" button, which refreshes the charts on the screen.
