Reporting Time

Overview

Users are able to create Time Log records, related to Steps, Issues, and Tasks, to indicate the time spent working on those items.

Time Logs can be added from the following locations:

Time Entry Dialog

Click the "Add" button (see images above to know where it is placed in different situations) to begin creating a Time Log in the Time Entry screen.

When adding a Time Log from the Time Logs Dashboard or the Task Manager (locations 1 and 2, above, where there is no inherent Step/Task/Issue relationship) the Time Entry screen will contain three tabs:

Recent work - A list of Steps, Tasks and Issues which have time logged to them, from the most recent report dates to the earliest. This list contains links to Processes and Records (if the Step/Task/Issue has those relationships), and each row's Title is a link that will open the selected Step/Task/Issue in one of the other tabs:

Step Time Entry - This form allows the user to log time to a specific Step of a Process. The "Process," "Record," "Step," "Report Date," and "Report Time" fields are all required.

  • If the user selects a Process first, the "Record" field will be limited to records on which the selected process has been started.
  • If the user selects a Record first, the "Process" field will be limited to processes which have been started for the Record.
  • From version 8.2 onward, Time Logs may be created for any Step of the selected Process Instance (a combination of a Process and a Record), including completed or future Steps.
  • If the user attempts to create a Time Log on a Step for which they lack the necessary permission, a warning will be displayed.

This form is similar to the one displayed when a user chooses to create a Time Log from a Step (locations 3, 4, 5, and 8 above), except that no tabs will be displayed and the "Process" and "Record" fields will be pre-populated and disabled:

Issue Time Entry - This form allows the user to log time to a specific Task/Issue. The "Task/Issue," "Report Date," and "Report Time" fields are all required.

This form is similar to the one displayed when a user chooses to create a Time Log directly from a Task, except that no tabs will be displayed and the "Task/Issue" field will be pre-populated and disabled:

Notes
  • The minimum allowable value for the Report Time field is 0.01 hours.
  • A Report Date set beyond the current date will not allow the record to be saved.
  • Time Log records are stored in the Step when the user proceeds/approves/rejects it the first time, or any subsequent time. Additionally, Time Log records will be retained if the user restarts a branch containing that Step.
  • Prior to version 8.2: Time Log Entries will be lost if the entire current process instance (workflow) is restarted.
  • From version 8.2: Time Log Entries will be preserved if the current process instance (workflow) is restarted.

Once saved, Time Logs are visible in the Time Logs Dashboard and Step History, for further analysis.
