Process Details - Step Instances Metrics Chart (for release 7.0)
This table provides a breakdown of the overall statistics for a step by the instances it’s appearing in, within the selected period:
- Number of times step has been started in particular instance (1). This includes restarts due to changing step and restarting workflow.
- Number of times step has been completed within particular instance (or approved for decision steps, 2)
- Number of times step has been rejected within particular instance (3)
- Number of times when step has been late (completed within particular instance later than in planned time, 4)
- Number of times step has been escalated within particular instance (5)
- Number of times step has been re-assigned within particular instance (because of escalations or manually, 6)
- Number of reminders, triggered on step within particular instance (7)
- Average duration of the step (within particular instance, 8)
- Step Rating (Health) - property that is calculated based on the occurrences of different step metrics (Completed, Escalated, etc.) within particular instance. The higher the Health value, the more closely the step adheres to the desired resolution timing (9)
Also there are record names shown (10) which instances of current process are started at. When clicked on the Record name, user is navigated to the proper record page (in a new browser tab).
Notes:
- number of rejections (3) will be shown only if decision steps exist in the process.
- this chart shows only instances where current step has change in at least one of metrics (1 - 8) within the selected period. If there were no changes, this instance will not be displayed.
Numbers of Starts (1), completions/approves (2), and rejections (3) do not consider flow restarts in this chart.
Click "Hint" button (11) to display some brief information about this chart.
Click "Expand" button (12) to make chart be rendered on full browser window size. This can be useful when chart contains lot of data, or when making a presentation. In expanded state a "Collapse" button will be shown instead of it:
The number of instances shown in this chart is limited to 200. If this limit is reached, a proper warning will be displayed (13). To show other entries user should filter them to match some conditions (see below).
If there is no data for selected period (or no started instances), this chart will show stub text:
Filters
Filtering is available by clicking proper button (14). Clicking it will open a Filter form in the right part of the chart. It has "Add Filter" button (15) that offers filters and "Apply" button (16) that applies selected filters:
Click button (15) to display a list of filters (17). Select necessary filter and click "Add" button (18) to add it to filters. Click "Cancel" button (19) if you don't need to add filter:
Added filters can be removed by clicking "x" button which appears when mouse is over proper filter (20):
If there are 2 or more filters added, they are combined with "AND" logic by default. In this case a "Filter Logic" field will be shown with this default value, and user can change it as he needs (21). Numbers in "Filter Logic" field correspond to filter numbers (22):
The filters offered are:
Completed By - a person, resource, group (or any other suitable object record) that may complete steps.
This filter has the following operators:
- equals - allows to select only one entry and finds steps completed strictly by it
- not equal to - allows to select only one entry and finds steps completed by anyone except it
- contains - allows to select several entries and finds steps completed by any of them
- does not contain - allows to select several entries and finds steps completed by anyone except any of them
This filter has a multi-object selector that allows to select an object (user/group/etc.) (23):
Within selected object you can select one or several records (person names, groups, roles, etc.) by searching and selecting them in lookup field (24):
Start Date - date when current step has been started (got "Active" status).
Completed Date - date when current step has been completed.
These filters will show instances that have steps which proper dates are matching selected date range, but within period selected in the main "Period"picklist (25), which restrictions have highest priority:
These filters have the standard set of operators suitable for numeric/date/time values:
- equals
- not equal to
- is null
- is not null
- less
- greater
- less or equal
- greater or equal
and a set of pre-defined date ranges:
- all time
- today
- yesterday
- this week
- last week
- this month
- last month
- this year
- custom
If select "Custom" date range, a set of inputs will be shown where user can specify "from" and "to" dates and times:
Source Object -> %Name of object current process is built for% - fields of Data Source Object which process instances are started at. Applying them will find instances started only on records that match these filters.
User can select any available Data Source field. These fields have different types. Each field type has own set of supported operators and allowed values. Actually Data Source Object filters are the same as for Task Manager, so, you can refer to the proper article.
Notes
These fields are not supported in Source Object filters:
- Long (text with big length allowed)
- Rich (formatted text)
- Text Encrypted (due to security reasons)
Text fields length supported by filter queries is limited to 4000 symbols.
