Process Details - Process Step Metrics Chart (for release 7.0)

This chart displays total occurrences of each metric for every step of the process, within the selected period:

  • Number of times step has been started (1)
  • Number of times step has been completed (or approved for decision steps, 2)
  • Number of times step has been rejected (3)
  • Number of times when step has been late (completed later than in planned time, 4)
  • Number of times step has been escalated (5)
  • Number of times step has been re-assigned (because of escalations or manually, 6)
  • Number of reminders, triggered on step (7)
  • Average duration of the step (by all instances matching selected period, 8)
  • Step Rating (Health) - property that is calculated based on the occurrences of different step metrics (Completed, Escalated, etc.). The higher the Health value, the more closely the step adheres to the desired resolution timing (9)

Numbers of Starts (1), completions (2), and rejections (3) do not consider flow restarts in this chart.

Note: number of rejections (3) will be shown only if decision steps exist in the process.

When clicked on the Step name (10), user is navigated to the Step Statistics screen (see below) where several charts related to this step will be displayed.

Also the chart has the ability to show trends:

  • Trends are calculated for each metric against the identical previous period. Trends and are indicated with arrows (11). For metrics with an objective value of the trend, a green arrow indicates a positive trend, while a red arrow indicates a negative trend. Black arrow indicate trend that does not have positive/negative meaning. Light gray arrow shows that no changes happened in comparison of previous period.
  • Trends can be switched off by the toggle at the bottom (12).
  • Trends are not available if select "All time" period to show.
  • If mouseover a trend icon (an arrow), a tooltip with more detailed information will be shown. This information includes property change (13), current selected period (14) and previous period to be compared with (15). Previous period has the same length (considering different number of days in months and years).

Click "Hint" button (16) to display some brief information about this chart.

Click "Expand" button (17) to make chart be rendered on full browser window size. This can be useful when chart contains lot of data, or when making a presentation. In expanded state a "Collapse" button will be shown instead of it:

If the process has subprocesses, and they are turned on at the Totals tab ("display sub-process steps" switcher is on, 18), Process Step Metrics chart will display information about subprocesses too:

  • Names of subprocesses (18) that will open Process Details page of proper subprocess when clicked (in a new browser tab)
  • Information of subprocess steps (19) in the same way as for parent process steps

Steps that have subprocesses as far as subprocesses can be collapsed or expanded with proper buttons (20)

By default steps of subprocesses are shown in tree view that represents the structure of parent and child processes, like in Gantt chart. But by turning toggler (21) off this view can be switched to linear (22). In this view each process and subprocess steps are grouped together - that can be useful if user wants to pay attention on some particular process/subprocess only. Processes can also be collapsed or expanded (23).

If the process statistics not enabled, this chart will show no data, even if there are started instances. In this case chart will show a stub text "Statistics is disabled for the current process. To enable step statistics please click here", where last 2 words are special link (24). Click on this link to make statistics enabled. Alternatively, open process builder and turn on the "Enable Steps Statistics" checkbox (25) in the process settings:

If process has subprocesses and statistics for these subprocesses is not enabled, their steps will show no data (26). To enable statistics for subprocesses user should open their totals tabs (or process settings in builder) and turn on statistics collection as described above.

If the process statistics is enabled, but there is no data for selected period (or no started instances), this chart will show list of steps with zero values:

How calculations are made

Calculations are automatically performed daily at 12 PM in the time zone of the Job's Running User, up through the preceding day.

Step Metrics Page contains the following elements:

  • Step picker that allows to switch to any other step without returning back to Process Statistics
  • Time period picklist
  • The toggle "display sub-process steps" (only for process with sub-processes) that is disabled and has the same state as it had at Process Statistics page
  • "Return to Process Statistics" button that returns user back
  • "Reload" button that refreshes whole totals subtab
