Processes (Flow)
Templates
If you do many processes that are similar in nature, you can create templates first. When a new process comes up, you can choose an appropriate template and create a necessary process based on it, then make minimal changes. If you'd like, you can save this changed version as a template too.
Data
Every process requires a data source - a data object that can be used to accumulate information as the process proceeds, and to influence the process' path based on data in the object.
You can add fields to the data object to allow users to dynamically control the process without going into process builder. For example, you can have a field that identifies who will be responsible for a swimlane. The system will use the contents of this field to determine this responsibility when the process is being executed.
Time
Step Durations: Each step can have durations associated with it. They are used to calculate dates of step start and finish.
Milestones: You can also specify milestones that are a way of visual organization of process execution.
Layouts
Layouts are the way to show steps, and add some functionality to them. Layout can be a Salesforce page, a Work-Relay form, any Visualforce page, or any external URL.
Actions
You can use Work-Relay to automate certain things you may be doing manually. Actions that can be taken from the system include: updating or editing a record, executing APEX code, calling a web service, sending an email or notification, etc.
Gantt charts
The Gantt chart will allow you to view steps (tasks) in tree mode, and set dates, durations and responsible parties for them.
Dashboards
Work-Relay's built-in dashboards allow users to monitor work in real time:
- Kanban allows easy tracking of active tasks
- Planning Dashboard gives ability to manage planned and started processes
- Progress Dashboards allow user to know everything about all instances of particular process
Chatter
All work assigned to users through Work-Relay can be done on the Chatter feed. When a user is assigned to a task, they will be notified about it on their feed. Along with a link the associated form, so they can do all their work in one place. The Chatter feed will also act as a radar, notifying users of tasks that are coming down the pipeline. Users will be informed about any changes being made to a process by "following" it and getting all its updates. Also, user is even able to manage processes via the Chatter using Chatter Assistant.
Chatter can be used as the hub for all communication in the workplace. In addition to a feed where you can post links and comments, you can use it to connect with other users privately.
