Working with Licenses (from release 7.0)

This article is related to Work-Relay application releases of version 7 and later.

To view information about working with licenses in Work-Relay versions prior to version 7, please read the proper article.

Navigate to the "Licenses" tab on the "Settings" page. The Licenses tab allows the Work-Relay Admin to enter license keys and manage Work-Relay users.

Providing a license key

  • Click the "Enter License Key" button (1) to open the entry form (2):
  • Enter or paste the license key provided and click "Apply":

Your license information will now be visible.

Licenses can be generated with different restrictions and permissions. The following licenses are visible in the screenshot below (3):

  • Work-Relay Admin - Assigned to users that need permissions to manage the Work-Relay application as a whole, as well as use, create, and manage processes, forms, and actions.
  • Work-Relay User - Assigned to users that need permissions to work with processes and forms, but not to create and manage them.
  • Work-Relay Platform User - Assigned to users that need similar permissions as the Work-Relay User license above, but have a Salesforce Platform user license, rather than a full Salesforce license.
  • Work-Relay Day Pass - Assigned to users that need similar permissions as the Work-Relay User license above, but customers are billed only for the days in which an assigned user performed allowed activities. See the end of this article for further information about this licensing model.

The license key determines the Total License Amount for each license (4). Licenses have expiration dates, according to a customer's contract (5) - don't forget to renew your license!

Licenses may be deleted via the "Delete" link (6). When clicked, this link will show a confirmation popup (7) to prevent accidental deletion. This feature deletes the licenses for all users assigned to the license.

Total License Amount indicates the maximum number of user accounts that may be assigned to a given license at one time.

Please contact Work-Relay application sellers for unlimited licenses.

Managing Licenses

To add users, click the "Manage Users" button (8) for the desired license.

This page has the following elements:

  • "User Search" field (10) that enables searching for currently licensed users by name (11)
  • "Add Users" button (12) that switches page to Add Users mode
  • "Remove Multiple Users" button (13) that switches page to Remove Users mode
  • "Filters" button (14) that toggles the filters sidebar

Each licensed user row has a submenu which can be used to revoke the user license (15). This action must be confirmed in the popup (16):

To add users to the license click "Add Users" button (12). The page will be switched to Add Users mode (17):

Locate the desired users and click the checkboxes next to their names. Selected users will be added to the "Selected for Adding" list (18) that will appear at the bottom of page. Click the "Add" button (19) and confirm this action in the popup that will appear (20):

Prior to clicking the "Add" button and confirming, unchecking the box next to a user in the Selected for Adding list will remove that user from the list.

Note: "User Search" field will keep entered text and entries will be filtered by it even when page is switched to any mode.

The Is Active checkbox indicates whether or not the licensed user's underlying Salesforce user record is active (21).

To remove user licenses, either:

  • Click the "Revoke License" action in the licensed user row's submenu (15), as described above.
  • Click the "Remove Multiple Users" button (13) from the main license page described above to switch the page to Remove Users mode (22).

Click the checkbox for the desired user(s) whose licenses should be removed. Selected users will be added to the Selected for Removal list (23) that will appear at the bottom of page. Click the "Remove" button (24) and confirm this action in the popup that will appear (25):

Prior to clicking the Remove button and confirming, unchecking the box next to a user in the Selected for Removal list will remove that user from the list.

Filters in "Manage Users" Page

When viewing, adding or removing users, you can use Filters to quickly find desired users. The Filters sidebar is toggled by the filter button (14) and contains "Close" (26), "Add Filter" (27) and "Apply" (28) buttons by default:

To add filter criteria click the " + " button. This will display a picklist of fields, as well as confirm and cancel buttons (29):

Fields available for filter are:

  • Assignment Date
  • Email
  • Group
  • Last Login Date
  • Permission Set
  • Profile
  • Role
  • Salesforce User License
  • Username

Fields are filtered in the same way as described in Task Manager Filters article.

  • "Assignment Date" and "Last Login Date" fields are filtered as date fields
  • "Email" and "Username" fields are filtered as text fields
  • Other fields are filtered as lookup fields

If there are 2 or more fields selected, a "Configure Logic" button (30) will appear at the bottom. Click it to show the "Filter Logic" form (31) and specify your logic, as desired:

Filters are combined with "User Search" field value by logical "AND".

Licenses Automatic Assignment

If it is not suitable to assign users manually (e.g., if there are lot of licenses and users), licenses can be assigned to a user automatically when the user starts working with the Work-Relay application. To set this feature:

  • Click the "Settings" button in the proper license tile (32):

  • Check the "Enable Auto Assignment" checkbox (33):
  • The auto assignment configuration form will appear (34, 35).

Automatic assignment should be set up to limit users allowed to be assigned automatically:

  • Select type of assignee - User, Profile or Role (34)
  • Select and move the selected elements to the "Allowed for" section (35)
  • Click the "Apply" button

The next time a user that matches these conditions log in, the Work-Relay license will be assigned.

Automatic assignment does not affect ability to add any user manually as described earlier in this article.

Licenses Automatic Reassignment

Note: This feature is only available for use with the Work-Relay User license type, and if the license provided to you has this feature enabled.

Unique business situations may arise where the number of working users is greater than the number of available licenses. The Automatic Reassignment feature may be helpful in this scenario. 

To enable this feature:

  • Select the "Settings" item in submenu of license type row.
  • Ensure "Enable Auto Assignment" is active (see above).
  • Check the "Enable Auto Reassignment" checkbox below the selectors (36).
  • Set the "Allow Reassign in day(s)" value (37) if default value is not suitable. If you set an invalid or disallowed value, a warning message will be shown.
  • Click the "Apply" button.

Automatic Reassignment functions by:

  • Locating the user that last logged in longest ago AND whose License Assignment Date is earlier than the current day by N (or more) days, where N = "Allow Reassign in day(s)" value
  • Revoking that user's license
  • Assigning the license to the user that now needs it and matches the Auto Assignment conditions specified

Automatic reassignment of licenses will be available no more often than the number of days specified in "Allow Reassign in day(s)" value. This value also has limitations depending on the number of licenses purchased:

Day Pass Licenses

The Work-Relay Day Pass license allows users full access to Work-Relay, but the customer will be charged a daily rate for each day that a user interacts with the Work-Relay platform. Customers will be charged this daily rate up to a maximum of 9 days of usage, after which they will continue to have full access to Work-Relay at no additional daily rate charge.

The "Manage Users" page for the Work-Relay Day Pass license displays the following additional details:

  • Total Usage Days (38)
  • Last Month Usage Days (39)
  • This Month Usage Days (40)
  • Last Interaction Date (41)

This information is used to count statistics for each user and calculate billing amounts.

"Interactions" is defined as anytime a user performs any of the following activities:

  • Create/Edit a Work-Relay Process
  • Create/Edit a Work-Relay Form
  • Create/Edit a Work-Relay Global Action
  • Proceed a Step
  • Save a Work-Relay Form
  • Execute a Work-Relay Global Action
