Resources
Resources are representation of people, rooms and equipment in the system. The main idea is to filter them by their attributes (properties) and assign them automatically by taking available Resource from the Resource Pools.
Resources can also be used as step or swimlane assignees as they are.
Resources are shown at the proper tab (1) of Resources page. Resource names are links to proper Resource record (2). Here they can be filtered for easier search (3), created (4), edited (5) and deleted (6). Also, resources associated with the users have a link to proper user record (7):
Resources can be human and non-human. The differences are:
- human resources are associated with some user
- non-human resources are considered as involved on the proper step, not assigned
If step has only non-human resources on it, it actually will have no assignee. To be available for working with, step MUST have at least one human resource assigned.
Adding a new resource:
- Click "New" button to show a proper form popup (8)
- Enter Resource name (9)
- Select User (10) if you want to make a human resource
- Select Business hours (11) to assign one of business hours to a resource in order to allow system to generate a Business Calendar (calendar of availability) for it
All these fields are not mandatory, but:
- if you omit the name, system will use Salesforce ID instead
- if you do not select Business Hours, system will consider Resource as permanently unavailable
Editing resource: click "Edit" menu item (5) or proper button in Resource Details page, and then edit resource fields in the same form as when create new.
Deleting resource: click "Delete" menu item (6) or proper button in Resource Details page, and then confirm deletion.
Click on Resource name to go to Resource Details Page (12). This page contains two tabs: "Details" (13) and "related" (14).
"Details" tab shows basic information about Resource. Some fields are links to proper records. Also, some fields are editable and you can click pencil icon (15) to switch details to edit mode (19). Make necessary changes and click "Save" button (20) to save them. Buttons "Edit" (17) and "Delete" (18) allow to edit and delete Resource.
Also, "Details tab has a collapsible "Availability" section (16) that shows a Business Calendar of the current Resource.
"Related" tab shows Pools, which Resource belongs to (21), Attributes (22) and Events (23) set to current Resource. Click "New" button (24) to add a new attribute to Resource. Click "New" button (25) to add a new event. Click on menu arrows (26) and select proper menu item (27) to edit or delete the proper Pool/Attribute/Event.
Note: you can't add a pool to current resource here. You should go to proper Resource Pool page and add necessary resources to it there.
